Soft Services Specialist 

What you will do

As Soft Services Specialist, you take end-to-end ownership of the workplace services that shape daily life on imec’s Leuven campus, including cleaning, catering, reception, security, waste management and landscaping. You align internal needs with supplier delivery to ensure reliable, efficient services in a dynamic high-tech environment.  Furthermore you will: 

• Lead the delivery and continuous improvement of soft facilities services across the imec campus, creating a high-quality experience for employees, visitors and partners. 
• Own the soft services contracts and act as the commercial point of contact, from sourcing strategy and supplier selection to governance and performance reviews. 
• Build effective partnerships with external service providers, ensuring agreed service levels, accountability and continuous performance improvement. 
• Monitor service quality through KPIs, SLAs, audits, inspections and ServiceNow reporting, translating insights into concrete improvements. 
• Prepare and manage operational budgets, balancing excellent service with cost-effective delivery. 
• Work closely with technical facility teams and internal stakeholders to translate diverse workplace needs into sustainable, long-term solutions. 
• Identify and implement opportunities for service innovation, sustainability, operational excellence and an improved user experience. 
• Act as imec’s centre of expertise for soft facilities services, sharing knowledge and supporting relevant training. 
• Contribute to digitalisation initiatives, including the further development of EAM and CAFM tools within your area.

Who you are

• You hold a bachelor’s or master’s degree, or have equivalent experience, and bring a strong background in facility management, workplace services, service delivery or operations within a complex organisation. 
• You have hands-on experience managing external service providers and contracts, including KPIs, SLAs, supplier governance and commercial follow-up. 
• You combine operational ownership with a continuous-improvement mindset and know how to turn data, feedback and service insights into practical action. 
• You are motivated by creating an excellent workplace experience and can understand and balance the needs of diverse user groups. 
• You build trusted relationships, communicate confidently with suppliers and stakeholders, and collaborate effectively across technical and non-technical teams. 
• You are proactive, pragmatic and solution-oriented. Familiarity with ServiceNow or a similar service management platform is an asset. You are fluent in English; knowledge of Dutch is a plus.
